Administrative Assistant (Job posting #332009)
This is a full time position with two direct reports: the Office Manager and Senior Advisor. The Administrative Assistant is responsible for understanding and facilitating a friendly and efficient work environment, establishing and maintaining positive working relationships with clients, brokers, suppliers and staff and representing the firm with a professional service-oriented attitude. The ideal candidate will be goal-oriented, have excellent attention to details and the ability to prioritize tasks. You are an excellent communicator as this position requires frequent interaction with clients, brokers, peers and suppliers. You are accurate, timely and efficient.
Main Accountabilities:
§ Answers telephones and transfers to appropriate staff member
§ Meets and greets clients and visitors
§ Signs for and distributes courier packages by 11 am each day or upon receipt
§ Sets up and coordinates meetings and conferences
§ Maintains and distributes associate list
§ Supports staff in assigned project based work
§ Opens and sorts all mail
§ Maintains files and database
§ Handles bulk mailings, mail merges and form letters
§ Maintains and documents all postage and courier billings
§ Order supplies/printed materials and helps maintain the office supply room as requested
§ Handles all routine inquires and policy owner service work
§ Maintains abeyance system for accurate and timely follow-up on service requests
§ Maintains and coordinates advisor calendar and travel schedule
§ Schedules client appointments
§ Prepares illustrations
§ Prepares presentation material, proposals and required forms for advisor appointments
§ Provides vacation/sick relief for Office Manager
§ Other duties as assigned by Office Manager or Advisor
Education/Experience
§ Minimum 2 years office experience
§ Life Licensed or willingness to obtain life license within six months
§ Financial Services background an asset but not required
Skills/Knowledge
§ Highly professional and effective team member
§ Contributes to the organization by maintaining and professional, friendly and positive attitude
§ Pleasant telephone manner
§ Ability to relate to people and put them at ease
§ Understands the need for rules and procedure and works within that framework
§ Self-motivated and independent
§ Strong working knowledge of Microsoft Word, Excel, Office Outlook, PowerPoint and ACT database
§ Excellent organization and prioritization skills
§ Detail oriented
§ Excellent written and verbal communication skills
§ Ability to maintain strict confidentiality at all times
