Duties:
-
Establish and maintain a high level of client service by supporting the Counselor(s) in the development of financial, estate, and investment plans by compiling client data and preparing various reports.
-
Monitors and ensures that administrative and operational processes and control standards are followed while seeking to determine, develop, and participate in implementation of improvement opportunities.

Working with Counselor(s) to develop and distribute client communication pieces and execute client events.

Processing and administrating mutual fund and insurance applications
-
Responding to client inquires in a timely, responsive manner by resolving issues, processing client transactions expeditiously and accurately, escalating issues to Operations Manager or Managing Director as needed. Issuing instructions for client withdrawals, deposits, PACS and transfers according to client or Counselor(s) request.
The Administrative Assistant reports directly to the Operations Manager or Managing Director. The primary purpose is to assist Financial Counselors in the day to day administration of a Financial Counseling Practice. The Administrative Assistant is a core member of the counseling team at the Financial Literacy Counsel.
Ensure effective client administration by following up with clients on missing documentation required as per the industry and firm regulations and maintaining client
-
files and information on the appropriate systems. Checking all system entries in accounts for accuracy.

Adhere to all firm and regulatory policies by remaining up to date with all the regulatory rules regarding client accounts and ensuring client interaction is accurately documented.

Provide administrative support in wide range of duties (mail, organizing and responding to email correspondence, etc.)

Establish and maintain an organized area and filing system
-
Coordinate and manage calendars, travel, meetings, agendas and phone calls
-
Prepare and/or contribute to the preparation of reports, briefings and presentations.

Have materials prepared for meetings.

Run Monthly Commission, Yearly Revenue reports and prepare T4A’s
-
Organize cheque run to pay associate commissions and bills in a timely manner
-
Prepare invoices to bill associates and for workshops
-
Prepare payroll for inputting
-
Ensure all company licenses and insurance are up to date, prepared and paid on time
Requirements:
-
1-3 years experience in an Administrative Assistant or similar role in an office setting.
-
Experience in processing life insurance and mutual fund applications.
-
Strong knowledge and skills using Maximizer and Microsoft Office (Word, Excel, Powerpoint, and Outlook).
-
Must have excellent written, verbal communication skills as well as attention to detail and accuracy.

Strong organizational skills with proven ability to multi-task and oversee projects/ special events.
-
Able to work both independently and in a team in a fast paced environment
-
Excellent telephone skills.
-
Service oriented with strong time management skills and proven ability to meet deadlines.

Insurance/Mutual Funds License Preferred
Educations and Accreditations:
-
Completion of post secondary training and education.
-
Complete and Pass exams for Insurance Council of BC License within 6 months of being hired.
